Board Positions
The PRSA-IE Chapter Board brings together passionate communications professionals from across the Inland Empire who are shaping the future of our industry. Board positions open annually and offer an exciting opportunity to step into Chapter leadership through a one-year volunteer commitment.
As outlined in the Chapter Handbook, board members are expected to:
- Read and comply with national and Chapter bylaws and ethics policies
- Comply with all local, state and national laws
- Attend board meetings
- Attend all committee meetings as required and needed
- Read job role and duties and execute on all required actions for the good of the order
- Provide secretary and treasurer all needed items in accordance with board meeting procedures
- Come to meetings prepared
- Attend Annual Strategic Meeting
- Make concerted effort to attend monthly chapter meetings
Position Descriptions
President
The president shall preside at all meetings of the Chapter and of the board. They shall appoint all committees with the approval of the board and shall be an ex-officio member of all committees, unless otherwise provided by the board. The president shall perform all other duties incident to the office of president. The president shall immediately succeed to the position of immediate past president upon expiration of the president’s term of office. The president (if accredited) or his/her designee shall serve as a PRSA Leadership Assembly delegate.
- Attends and oversees board and general membership meetings
- Serves as an ex-officio member of all committees
- Serves on the executive committee
- Serves as Western District liaison and attends monthly meetings, invites chapter board as required
- Works in partnership with the other officers, chairpersons and the Chapter administrator as needed to ensure the Chapter’s mission and vision are realized
- Calls special meetings if necessary
- Selects or assists with the proposal and appointment, if necessary, of Chapter officers, board members, committee chairs and the Chapter administrator
- Coordinates and conducts new board-member orientation
- Coordinates and conducts the annual strategic planning sessions
- Coordinates periodic board assessments
- Serves as primary spokesperson for the organization
- Consults with board members on their roles and helps them assess their performance
- Encourages all board members to participate in board and Chapter activities
- Ensures that all board members’ views are represented in board meetings
- Serves as a conduit keeping board members apprised of information they need
President-elect
The president-elect shall assist the president, perform all duties incident to the office of president-elect and, in the absence or disability of the president, shall exercise the powers and perform the duties of the president. The president-elect shall immediately succeed to the office of president upon expiration of the president’s term of office, and in the event of the death, resignation, removal, or incapacity of the president. The president-elect (if accredited) or his/her designee shall serve as a PRSA Leadership Assembly delegate.
- Attends all board meetings
- Serves on the Executive Committee
- Carries out special assignments as requested by the board president
- Understands the responsibilities of the board president and is able to perform these duties in the president's absence
- Heads Chapter membership activities with assistance of Chapter administrator
- Participates in sponsorship discussions
- Participates as appropriate on one or more board committees
Secretary
The secretary shall keep records of all meetings of the Chapter and of the board, upload copies of such minutes to the national PRSA website and to the district chair, issue notices of all meetings, maintain or cause to be maintained the roll of membership, and perform all other duties customarily pertaining to the office of the secretary.
- Attends all board meetings
- Serves on the Executive Committee
- Serves as lead on Board Archive Policy and ensures all minutes, financials, and board member templates are updated and archived by the end of the year
- Updates and maintains board roster and terms of office according to bylaws
- Maintains updates to policies & procedures guide
- Coordinates with Executive Committee and members of board of directors to update by-laws as needed
- Coordinates with membership committees to maintain accurate roster
- Assumes responsibilities of the president in the absence of the board president and president-elect
- Serves as executive-committee liaison to board committees as assigned
Treasurer
The treasurer shall receive and deposit all Chapter funds in the name of the Chapter, in a bank or trust company selected and approved by the board. He/she shall issue receipts and make authorized disbursements after proper approval by the president or board. He/she shall prepare the Chapter's budget, make regular financial reports to the board, render an annual financial statement to Chapter membership and perform all other duties incident to the office of the treasurer.
- Attends all board meetings and serves on the Executive Committee
- Serves as financial officer of the organization
- Prepares the Chapter’s annual budget with input from other officers and board members
- Prepares a monthly financial report
- Receives and deposits all Chapter funds in the name of the chapter, depositing these funds in the financial institution as approved by the board of directors
- Issues checks and authorized disbursements
- Oversees the activities of Chapter committees relating to finance/resource development
- Maintains Chapter insurance
- Coordinates with accountant as necessary to prepare federal and state documents
- Creates and maintains systems and processes that ensure the fiscal health of the Chapter
Immediate Past President
- Serves on the Executive Committee
- Assists with leadership development
- Carries out special projects as assigned by the president or as needed
Vice President, Communications
The Vice President, Communications is responsible for handling proactive and reactive media relations on behalf of the Chapter. This includes all traditional forms of media outreach. General duties include, but are not limited to:
- Attends all board meetings
- Chairs the Communications Committee
- Serves on the Polaris Committee
- Follows the Communications Policies and Procedures guidelines for all programming
- Reviews programs and social media chairs' work to ensure consistency of voice
- In charge of monthly chapter newsletter
- Media pitching
- Events calendar review and marketing on other sites
- Utilize Chapter’s Mail Chimp account to distribute e-newsletters and its Star Chapter account for eblasts
- Create and distribute eblasts to promote upcoming luncheons, support Polaris Awards, other Chapter correspondence to members and non-members
Social Media Chair
The Social Media Chair is responsible for handling the proactive and reactive social media platforms on behalf of the chapter. This primarily includes Facebook, Instagram and LinkedIn. These activities include, but are not limited to:
- Attends all board meetings
- Serves on the Communications Committee
- Serves on the Polaris Committee
- Follows the Communications Policies and Procedures guidelines for all programming
- Runs all social media channels and ensures professionalism and consistency of Chapter voice
Vice President, Programs
The Vice President, Programs is responsible for organizing professional development programs for the benefit of members. General duties include, but are not limited to:
- Attends all board meetings
- Serves on the Communications Committee
- Follows the Communications Policies and Procedures guidelines for all programming
- Follows the Pricing and Events Policies
- Books speakers for monthly luncheons
Sponsorship Chair
- Serve on Communications Committee
- Serve on Polaris Committee
- Manage Chapter’s sponsorship program
- Other events or activities as needed or assigned by the board or president
Director, APR
The APR Chair is an accredited senior practitioner who oversees the Chapter’s APR program. Duties include:
- Create promotional calendar and content to recruit candidates
- Report program updates and successes to Board and chapter
- Represent APR program at Chapter, region and social gatherings
- Coordination of readiness review
- Securing/confirming panelists
- Distribution of written submissions to panelists
- Determine accreditation timeline to include setting deadlines for submission of application and essays; set dates for study course and readiness review.
- Serve as Chapter and candidate liaison with PRSA National Office APR Manager
Director, PRSSA
- Serve as liaison/resource for the Public Relations Student Society of America chapters
- Notify students of chapter events
- Spend one hour per month reaching out to temp agencies and recruiters to discuss any upcoming jobs to post on our website, update jobs, and include in emails. Possibly get contacts with schools, large companies, and those looking for internships for PRSSA.
- Network and communicate with faculty advisors for PRSSA chapters within our area
- Help oversee Chapter events for students
Director, Polaris
The Director of Polaris Awards and the committee are responsible for the planning of the awards dinner, arranging the judging of our members’ submissions, arranging volunteers for judging other chapters’ awards, advertising and implementation of entire process.
Director, Diversity
- Work with the Chapter president and membership chair to ensure diverse membership
- Leads the chapter’s diversity and inclusion initiatives
- Implement D&I activities into the local Chapter’s annual programming
- Plan Chapter-based activities during Diversity & Inclusion Month
- Serve as Chapter liaison for National D&I Committee
- Serve as a resource for the chapter on diversity and inclusion topics
Director at Large, Special Projects
The Director at Large, Special Projects plays a key role in advancing the Chapter’s mission by leading strategic initiatives, event planning, and special programs that enhance member engagement and professional development.
Director at Large, Region
The Regional Director serves as a key liaison between the Chapter and members within a designated geographic region, including Temecula/Murrieta, Riverside and Greater Palm Springs. This role focuses on fostering engagement, supporting local initiatives, and ensuring members have access to resources and networking opportunities.
Ethics Officer
The Ethics Director champions PRSA's ethical standards and best practices within the Chapter. This role ensures members have access to resources, education, and guidance on ethical decision-making in alignment with industry standards.
